frequently asked questions
What institutions ask us before they start
Straight answers about how MICAPIC works, what is included, how long it takes and what you receive at the end.
What does MICAPIC actually do?
MICAPIC is a media production and execution partner based in the Netherlands. We plan, coordinate, execute and document institutional presence in Europe for Gulf clients: official delegation programs, events and exhibitions, institutional media coverage, films and documentaries, and strategic communications. One partner handles the whole path, from the first official visit to the closing report.
Which countries does MICAPIC work in?
MICAPIC is based in the Netherlands and operates across Europe, most often in the Netherlands, Belgium, Germany, France and Switzerland. Our clients are mainly institutions and companies from Qatar, Saudi Arabia, the United Arab Emirates and the wider Gulf, plus European agencies and brands that need a local production partner.
Who are your typical clients?
Embassies and diplomatic missions, government and semi-government entities, cultural and educational institutions, investment and trade delegations, Gulf companies operating in Europe, and agencies that need an execution partner on the ground.
What is delegation management and what is included?
Delegation management means MICAPIC runs the entire visit program, not just one appointment. It includes defining the objective, building the program and run sheet, arranging meetings and visits, transport, local coordination, escorting or translation when needed, protocol attention, media coverage, and a final report with organized delivery links.
Can you handle only media coverage, without a full program?
Yes. Coverage can be booked on its own, from essential coverage of a short meeting to full-day institutional coverage, coverage plus a formal report, or a premium delegation media kit with photos, video, interviews, social content and a final report.
How far in advance should we contact you?
For a single meeting or a short coverage day, a week is usually enough. For a multi-day delegation program, an exhibition participation or a film production, two to six weeks gives room to plan locations, suppliers, permits and protocol properly. Urgent requests are still welcome — tell us the date and we will say honestly what is achievable.
What languages do you work in?
Arabic, English and Dutch. Documents, subtitles, statements and reports can be delivered in any of the three, and the website itself is available in all three languages.
How much does a project cost?
Pricing depends on scope: number of days, crew size, cities and travel, deliverables and the level of protocol required. Instead of a fixed price list, we send an initial brief with scope, deliverables, timeline and estimated cost after a short intake — so you can compare a real plan, not a vague number.
How do we start working with you?
Send a request through the proposal form on micapic.com or contact us directly. We ask a short set of questions about the objective, date, city, audience, sensitivity and deliverables, then return an execution brief covering scope, timeline and estimated cost.
What do we receive at the end of a project?
Selected and edited photos, a highlight video, interviews when agreed, publish-ready versions for platforms and reports, organized delivery links, and a report describing what was executed. Everything is prepared for institutional use: archives, official reports, media releases and internal presentations.
Do you respect diplomatic and official sensitivity?
Yes. Sensitive material is handled discreetly, publication is agreed in advance, and in case studies we deliberately keep confidential details brief. Protocol and the image of the institution come before the shot.
Can you travel to other European cities?
Yes. Travel across Europe is part of our normal work, and we regularly build programs that move between cities and countries within a single delegation visit.
Do you produce documentaries and institutional films?
Yes. We produce short films, documentaries, impact stories and institutional content — starting from the message and the audience, then filming, interviews, editing, subtitling and final delivery.
Is MICAPIC a registered Dutch company?
Yes. MICAPIC is registered in the Netherlands and operates under Dutch and EU regulations, including GDPR for any personal data submitted through the website.
